About the Role
We are seeking a highly organized, detail-driven, and people-oriented B2B Reservations Coordinator to join our growing Milan team. This critical role sits at the intersection of guest services, operations, and sales—ensuring a seamless transition from booking to stay for our corporate and agency clients.
You will act as the main point of contact at the point of sale, liaising with guests or their agency intermediaries to deliver a flawless, VIP-standard guest experience. From coordinating pre-arrival inspections to managing billing and concierge-level services, your efforts will shape how B2B clients experience our brand.
Key Responsibilities
Guest Liaison at Point of Sale: Coordinate directly with the guest or their agency to gather stay requirements, confirm arrival logistics, and serve as their trusted point of contact.
Check-In Experience: Ensure personal greeters are arranged and fully briefed for a warm, professional guest welcome.
Pre-Arrival Coordination: Guarantee each apartment is thoroughly cleaned and fully inspected no later than 48 hours prior to arrival.
Internal Coordination: Proactively communicate with housekeeping, maintenance, finance, and guest services teams to deliver a consistent and premium experience.
Billing & Payments: Oversee timely invoicing and payment collection, liaising with agencies or direct guests to ensure accuracy and compliance.
VIP Treatment for B2B Clients: Ensure B2B guests receive preferred service levels, including faster response times and proactive issue resolution.
Problem Solving: Serve as the first line of resolution for any issues during the stay—acting with urgency, empathy, and professionalism.
About You
You’re a people person with exceptional interpersonal skills, a flair for organization, and a strong sense of ownership. You thrive in a fast-paced environment, juggling multiple priorities without losing sight of detail or quality.
You Bring:
Proven experience in a reservations, front office, or guest service coordination role—preferably in hospitality or serviced apartments.
Strong communication skills in Italian and English (spoken and written); other languages are a plus.
A service-first mindset and a proactive, can-do attitude.
Ability to multitask and coordinate across multiple internal teams.
Financial literacy: comfort with billing processes and payment follow-ups.
A sense of determination—you never take “no” for an answer when it comes to creating an excellent guest experience.
Experience working with CRM or PMS systems is a plus
